Outlook email client
Outlook email client is most prominent for its ease of access and simple user interface. It is also very easy to setup email in Outlook and the program will automatically synchronize with the configured email account to save the emails to the computer for later access. However, Outlook application may run into faults occasionally and it annoys users a lot.
Backing up emails on a removable media ensures safety of the mails and messages, and can be easily recovered if the Microsoft Outlook application crashes at some point. Outlook saves all the data in PST files, which may become overloaded over time, and result in poor performance of the program. Thus, it is advised to backup the saved data on an external hard disk or CD, and remove the files from the computer to free up some space. Follow the below given set of instructions to backup data saved via the Microsoft Outlook application.
Steps to follow
- Launch Outlook application on your computer and go to the File tab in the program window.
- Select Import and Export link from the list, and opt for Outlook.
- Select Export to a File option in the resulting window and click Next to continue.
- Opt for Personal Folder File (.pst) and click Next.
- Select the folder that contains the data for backup and mark the checkbox against Include Subfolders link. Select Next to move on.
- Enter the location to save the exported backup file in the Save exported file as box. You can also opt for Browse option to locate the removable media if it is connected to the computer and save the backup file in it directly.
- Click on Options and opt for Replace duplicates with items exported, Allow duplicate items to be created, or Do not export duplicate items link.
- Click Finish and complete the procedure.

You can download an automatic file backup tool from the Microsoft’s official website and simplify the process.
Instructions
- Click on Destinations & Events link and go to the Download Center.
- Enter Personal file backup in the Search All Downloads section.
- Click Outlook Add-in: Personal Folders Backup link from the results menu and click Continue to validate and download the add-in.
- Save the Pfbackup.exe file to your computer.
- Run the saved file and follow the on-screen instructions to install the add-in to your Outlook program.
